The Two Modes of Information Resource Ownership
There are two modes View Mode and Edit Mode
We recognise that mistakes occur or that you may simply want to check which configuration rules have been applied. So therefore, we made the default mode for Data Access Governance to be View mode.
VIEW MODE lets you see which Configuration Rules have been applied to Storage Areas, Private Channels, SharePoint Sites, SharePoint Libraries or Lists.
EDIT CREATE MODE allows you to create Configuration Rules that will automatically apply to all Storage Areas, both existing and new ones as they are created.
CONFIGURATION RULES ARE APPLIED IN SEQUENCE
It is very important and please be aware that the Configuration Rules apply in sequence. In the example below the Rule at Position 15 overrides the Rule at position 14.
VIEW MODE
In the NAME filter you can SEARCH on all or part of a name of an Information Resource. As you can see you can also do this with TYPE, URL/ADDRESS, OWNERSHIP STATUS and GRANULARITY.
If you select Contains from the dropdown menu and input HR into the search for… input box.
You will see all the information resources which contain the letters H and R
EDIT CREATE MODE
Edit Create Mode works in similar way to View Mode though now we can only filter and search on NAME, TYPE and URL/ADDRESS.
In this example I am going to ADD an AUTO CONFIGURATION RULE to all Information Resources which contain the word sales.
We shall now create an Automatic Configuration Rule for any Information Resource that contains the word sales within its name.
Select the ADD AUTO CONFIG RULE BUTTON
The ADD CONFIGURATION RULE pops up in the middle of your window.
Before adding a Configuration Rule, it is very important to understand what they do.
- Configuration Rules will automatically apply to all Storage Areas, both existing and new ones as they are created.
- Configuration Rules will only apply to the conditions you have specified in the filters of NAME, TYPE and URL/ADDRESS for example Name contains ‘sales’
- Ownership, enable Torsion to take Ownership of the Data in the Storage Area
- Granularity, relative to the Information Architecture in the Storage Area, set the level of granularity at which ownership should be managed. For example, do you want to set the ownership at the top site level or lower down with the site?
- Assignment Method – The method to use for determining owners.
We have three choices: –
- Assign Automatically – Where possible, Torsion will determine who owns the data, and automatically assign them as Data Owners. Admin Tasks will be created where owners cannot be automatically determined.
- Nominate Automatically – Where possible, Torsion will determine who owns the Automatically data, and sends them a notification. They will become Data Owners when they accept the nomination. Admin Tasks will be created where owners cannot be automatically determined.
- Assign Manually – Assign Manual Set Data Owners manually for each resource.
In my example
I have ADDED A CONFIGURATION RULE to allocate a Torsion Business Owner at the Top Level to any Information Resource which contains Sales within its name.
To create Manual Configuration Rule for any Information Resource that contains the word sales within its name.
Tick the box for HR Team
Select the ADD MANUAL CONFIG RULE BUTTON
The ADD CONFIGURATION RULE pops up in the middle of your window.
A rule is then applied with “Rule matching HR Team, set Ownership to Enable, and Granularity to Top Level”
To Delete a Configuration Sequence Rule
Deleting a Configuration Rule is straight forward. Click on the X Delete
You will be prompted to confirm to remove this Rule from the current Storage Area Ownership configuration.
